Submission, contracting, & mobilisation readiness
Expect delays and plan for them.
SMEs report slow evaluation and high stress around processing and payments. After submission, do not assume that award, contracting, pre-financing, or reimbursement will happen immediately. Plan internal timelines and supplier commitments with enough flexibility to absorb administrative delays without creating cash-flow or operational pressure.
Protect your cash-flow after award too.
Liquidity, VAT, and reimbursement timing can create real pressure. Once awarded, update the cash-flow plan with actual payment schedules, procurement timing, supplier invoices, co-financing needs, and any non-eligible costs. The project should not create a liquidity shock that forces the SME to delay implementation or compromise normal operations.
Watch for changes in eligibility interpretation.
Evidence shows that re-interpretation of rules can have strong financial consequences. During contracting and mobilisation, confirm which costs, activities, procurement choices, and reporting practices are accepted under the final grant conditions. If guidance changes, document decisions and seek written clarification where possible before spending.
Keep your support ecosystem active.
SMEs rarely succeed in isolation; continued support helps manage complexity. Maintain contact with advisors, intermediaries, managing bodies, partners, and experienced peers after the award, because many practical issues emerge during contracting and first implementation steps. Support is especially valuable for interpreting grant conditions, setting up reporting routines, and preparing the first evidence files correctly.
Use each funded project to build capability.
Experience builds cumulative advantage and improves future success rates. At the end of each project stage, save templates, evidence structures, reporting examples, budget lessons, partner feedback, and evaluator comments where available. This turns one funded project into a capability-building exercise, making the SME faster, more accurate, and more competitive in future funding rounds.
KONTURE / Contact Rural Tour EU demonstrated strong post-award maturity by managing multiple funding schemes over time and continuously improving internal processes, using each project as an opportunity to build long-term funding capability and organisational learning.
